Chapter Reporting Print E-mail

Annual Reporting Period:  April 1st - March 31st
Submission Deadline:  August 1st

Why do I need to send in my annual Activity Report and my most recent Chapter information?
In order to receive chapter support from the office, regular CRU bulletins and notices, your chapter rebate, socio-cultural grants and concours subsidies, all of your chapter contact information and reporting must be up-to-date.  The designated chapter representative receives email bulletins from our CPF BC & Yukon Branch office, and is the contact person for local members, and on our website.

Volunteer hours and reporting
Some of you have asked about reporting your volunteer hours. It is very important that you report these hours, on a regular basis, to our Branch office. Why?

  1. Many of the grants and government funding that support CPF BC & Yukon depend on our being able to provide statistics about the amount of valuable work that is being done by volunteers;
  2. In order to be a strong resource and advocacy group, we need to be able to show other organizations the kinds of activities we support and the number of hours our dedicated volunteers put into their efforts; and
  3. We need to be able to recognize, thank, and reward our valuable volunteers!

How do I get started? (ALL 3 steps must be completed)

1. Complete the NEW form: "The Combo Reporting Form"
The reporting is designed to be done as a follow-up to your Annual General Meeting, which is ideally held in May or June of every year. The submission deadline coincides with the deadline for Socio-Cultural Grant applicatons.  Throughout the year, if there is any change to any of the Chapter contact information or banking informaton, please remember to keep the Branch office up-to-date so that you don’t miss anything important.  Please provide information for every person who holds a position on your Chapter Executive, an active chapter requires at least 3 executives.

Note: Replaces the following old forms: Checklist for Chapter Annual Reporting/Chapter Executive Contact List/Banking Information/Most recent AGM minutes/Financial statements (Balance Sheet and Income Statement - See Samples)/budget for upcoming fiscal year. (Year beginning April 1st)/ Clippings, chapter newsletter, or other documents about activities.

*Please note, we require chapters to submit all financial documents and AGM minutes to be considered active and in good standing. If you do not have these documents prepared for submission at this point, you can fill out the "Combo Reporting Form" now and submit the appropriate documentation at a later time. Again, to be considered an active chapter you must submit all financial documents requested. Please feel free to contact us directly if you have any questions, comments, or concerns. Thank you!*

2. Complete the Chapter Activity Report and send via fax to 1.888.678.1780.
